Paperless Phase I: Process Updates Effective June 5th

Attention: All On-Site Associates

Through a collaborative pilot with 20 Essex communities, the following processes have been developed and are now available in E-Way. These updated processes will go into effect Wednesday, June 5th, 2019. These updates are designed to save time by eliminating unnecessary documents and standardizing tasks.
 
ACTION ITEM: It is necessary to view and be familiar with the following processes in E-Way prior to Wednesday, June 5th. Unique user views will be monitored for these processes, so please ensure that each of your admin associates logs into E-Way and accesses each process to review the content thoroughly.
 

  1. Prospect Tours
  2. New Applications
  3. Move-In Process
  4. Renewal Management
  5. Month to Month Lease Conversions

 
Update Highlights:
It will no longer be necessary to print the following documents. They will be saved electronically for all new applications and new renewals:

  • Applications
  • Lease Agreements
  • Renter’s Insurance Declaration(s)
  • Renewal Agreements
  • Lease Amendments

Note: Applications, lease agreements, and renewal agreements will automatically integrate from On-Site to Yardi when an applicant applies through RENTCafé.
 
The Resident File Setup Documents in On-Site will be updated as follows effective June 5th, 2019:

  1. The resident file checklist will be split into two unique checklists; “New Applicant Move-In Checklist” and “Renewal Checklist.”
  2. Documents that have been removed from the checklist and are no longer required to be stored in the resident paper file:
    1. Credit Acceptance Page
    2. Notice of Requested Screening Report
    3. Income Calculation Sheet
    4. Quote Sheet
    5. Guest Card
  3. Documents that were removed from the Resident File Setup Package:
    1. Conversation Log
    2. Change in Roommate and Amendment Log
    3. Statement of Final Account (previously included in the MIMO at some communities)
    4. Resident File Checklist – Move Out
