Paperless Phase I: Process Spotlight Guest Cards and Prospect Follow-Up

Attention: All On-Site Associates
To help support a more consistent and streamlined workflow across all communities, the Guest Card and Prospect Follow-Up processes have been updated. Please review these processes in E-Way and see the below highlights to discuss:
Guest Cards:
- Paper guest cards can be used for notes; however, they should be shredded after the information is transferred into the Yardi Prospect Guest Card. No paper Guest Cards should be retained.
- A printed Guest Card is not necessary to meet the Resident File Checklist requirements once a Prospect Guest Card in Yardi is created and completed.
Prospect Follow-Up:
- The Yardi Prospect Pipeline should be reviewed and managed daily.
- Always schedule a future follow-up in the contact section of the Yardi Prospect Guest Card for active prospects.
- All follow-ups in the pipeline should be scheduled for a future date with no dates on or before today’s date.
- Follow-up strategies should be developed and tailored to the needs of the community.
