Attention: All Associates

In an effort to safeguard associates against identity theft this tax filing season, Essex is taking part in the Internal Revenue Service's (IRS)  initiative to verify the authenticity of Form W-2 data via Verification Codes. This pilot program is designed to help reduce identity theft, protect the integrity of your W-2 data and prevent fraudulent e-filed tax returns.

FAQs
Q: How do I obtain my Verification Code?
A: The Verification Code will automatically be included in your 2016 W-2 — there's nothing you need to do. This will be sent to your mailing address by Essex no later than January 31. Please review and confirm your mailing address in UltiPro by January 20 to ensure your W-2 is sent to the correct address.

Q: What does the Verification Code look like?
A: The Verification Code will be displayed on your W-2 in Box 9, labeled Verification Code. The code will be displayed in four groups of four alphanumeric characters, separated by hyphens. Example: XXXX-XXXX-XXXX-XXXX.

Q: How can I utilize the Verification Code?
A: Anyone that elects to electronically file their 2016 W-2, and is able to do so, can utilize the Verification Code.

Q: Does this apply to both Federal and State returns?
A: No – The Verification Code program is solely for your Federal tax return and is designed to ensure your W-2 data and information is secure with the IRS.

Q: Will all tax preparation software ask for or require my Verification Code when I e-file?
A: Not all tax preparation software providers are participating in the IRS pilot program, but many popular software providers are.  If you use tax preparation software that does not ask for your verification code, you will not be required to provide it.  If you are prompted to enter your Verification Code, simply enter the code listed in your W-2.

Q: How do I confirm my mailing address is current with the company?
A: To ensure your 2016 W-2 is sent to the correct address, please review and update your mailing address in UltiPro by January 20, 2017. View this Buzz article for instructions: Important: Review Your Mailing Address in UltiPro.

Q: Where can I get more information on the W-2 Verification Code program?
A: For more information, view this article from www.irs.gov: IRS Tests W-2 Verification Code for Filing Season 2017.
