Paperless Transformation Phase I Process Spotlight: Prospect Tours and New Applications

Attention: All On-Site Associates

Have you reviewed the new Prospect Tours and New Applications processes in E-Way? These important processes were recently published and include valuable, time-saving information!  Every office associate should access E-Way through OKTA and review these processes.

Here are some highlights:
 
Prospect Tours:

  • The Essex Quote Sheet must be used for all prospects. The Yardi quote sheet button should not be used.
  • Quote Sheets must be uploaded in Yardi Attachments for every prospect who receives a quote. 
  • Use the RENTcafé Direct Apply link to help make the process easier for prospects and increase RENTcafé applications.

 
New Applications

  • All Warning Flags must be addressed in On-Site with verification comments added.
  • PII must be redacted from all documents prior to retaining them in paper or electronic format.
  • Prospects must apply through RENTcafé for leases, renewals, and applications to automatically integrate into Yardi attachments. Documents will integrate once they are fully executed in On-Site.

After reviewing the processes in E-Way, see if you can answer the following questions:

  • Where can the Essex Quote Sheet be located?
  • Where should Quote Sheets be saved?
  • What is the code word used at your community for safety?
  • Has the team processed any new applications using the new checklist? Have they submitted any feedback to E-Way?
  • Should we keep a copy of the applicant’s Social Security Card in the file if there is a Warning Flag in On-Site?
