Paperless Building Block: PII Management & Yardi Job Aids

Attention: All On-Site Associates

PII management will continue to be of high importance as we gradually transition to a paperless lease.
 
You may be asking, what is PII? PII is Personally Identifiable Information which includes a person’s:

  • Date of birth
  • Social security number
  • Government-issued identification number
  • Bank account and credit card numbers
  • Tax ID numbers

This information must be fully redacted from all documents before storing them electronically or in a paper file. Any digital documents that contain visible PII must also be permanently deleted from folders and from Outlook. Managing Personally Identifiable Information is imperative to protect consumer identities.  The best option to redact this information is to use a redaction pen. Sharpies and whiteout should not be used. If you see unredacted consumer PII in any document, steps should be taken to redact or delete the information immediately. 
 
Yardi Job Aid Updates
As we move into Phase I of our paperless initiative, E-Way will be reviewing the Yardi Job Aids posted on Buzz to identify outdated and conflicting content. These job aids will be removed or replaced with links to the updated processes and materials as conflicts are discovered.
