Maintenance: Make-Ready Changes in Yardi

Attention: All Maintenance Associates, All Community Managers, and All RPMs

To streamline Yardi's make-ready process, Maintenance has made changes to the default date and make-ready button. 

  1. Default Date Standardization – Every property has what’s called “Default Days.” This is the number of days that the estimated make-ready date is populated after a move-out occurs. In an effort to standardize the turn timeline expectations, we’ve made some changes to these parameters.

    Our Division Managers have reviewed each property to come up with a range between 5 and 7 days. This may, or may not, be a change for your property.

    1. The new settings can be reviewed in the attachment here: 
    2. If you encounter a situation where the turn will take an extended period of time, please utilize the “Adjust Date” function to more accurately represent what’s occurring.
    3. Any changes to these settings will require the approval of your Division Manager. Requests to increase a property’s default settings to greater than 7 days will require the DM’s agreement and will also be escalated for a senior approval; requests should be sent to uat@essex.com.
    4. These new standards are in effect as of Thursday, April 13, 2017.
  2. Make-Ready Button – Historically when making a unit ready in Yardi, the estimated make-ready date was taken as the ‘confirmed’ date. Moving forward, the current date will now be taken when making a unit ready.

    There are no additional steps for you except to be aware that the date that you click the button, is the date that will be entered as the ready date, so if you get it done a few days early and click the button, it will now reflect that shorter duration.

In the above example, the estimated make-ready date is pre-populated as 5/10/2017. However, if the current date were 5/5/2017 and we click the button for unit 535 above, then 5/5/2017 would be the “Rent Ready Date”, not the estimated 5/10/2017.

More beneficial changes to come
In the spirit of open communication, we’re also revisiting a simpler make-ready board that may be rolled out in the near future, which allows for more efficient turn management. More to come on that later!
